Improvements to make sure reward balances are accurate!

As some of you might be aware, we had a technical issue last year where reward balances weren't expiring correctly over a period of time resulting incorrect reward balances for your clients. We noticed in certain instances when you tried to adjust those inaccuracies manually, still there were errors and launched an investigation into what's causing these inaccuracies.. We are glad to let you know that we have been able to identify the issues causing these inaccurate reward balances and we have now fixed them for good! This means your reward balances will get expired at the right time going forward! However, we are unable to reverse the errors caused by the technical issue or reinstate the correct balances since we are not 100% sure what's the correct current reward balance for each of your clients.. But you can go ahead and manually fix any inaccuracies caused by the technical issue and be sure that it won't happen again!

Google are retiring their old analytics on 30 June, update to new GA4 analytics

On 30 June 2023, Google will be retiring their old Universal Analytics programme and replacing it with their new GA4 system. In order to keep using Google to track your Timely client bookings, you will need to add your new GA4 Measurement ID to Timely before the 30th June. We have created a step by step guide to help you update your Google Analytics integration, and the change should only take 15 minutes to implement. Update your settings now.

Trying to understand where a payment has come from may, at times, be pretty overwhelming. Not for the TimelyPay payments though! We have improved the TimelyPay transaction history report to make the end of day reconciliation process super easy for you!
  • The Transaction type column has become way more informative so you can see at a glance how you’ve taken each payment - either online or in-store as cardless checkout.
  • A new column Fee rate has been added that shows the TimelyPay fee rate that was applied to each transaction.
  • Each page now shows up to 100 entries as opposed to 10 so you don’t need to jump between the pages to see all your transactions.
  • To make it easier for you to find the TimelyPay transaction history, on top of the TimelyPay page we’re also surfacing it in the Financial reports section in Reports.

Auto-expire old waitlist requests to keep your list fresh and relevant

Your waitlist is a fantastic way to fill last minute spots in your calendar and offer loyal clients sought after treatment times. However, most clients will really only be interested in sitting on your waitlist for a few weeks; beyond that they can make an appointment the old fashioned way and come in at a time that suits them. This can mean that your waitlist gets clogged up with old requests that are no longer relevant making it harder to find the clients who really do want to come in ASAP.

To help you keep your list fresh, we’ve introduced a new auto-expiry feature to archive old requests. From today, your waitlist will only show recent, valuable requests, and we have cleaned up any old, out of date requests. The default expiry period is 8 weeks, though you can choose to set a custom expiry time, or turn off this feature entire.

Even easier payment reconciliation with TimelyPay

We've brought some awesome news for our TimelyPay customers in Australia and New Zealand! From now on, your TimelyPay payment reconciliation is going to be less confusing as we have changed your TimelyPay payout cut-off time from 12am UTC to 12am AET (for Australia) and 12am NZT (for New Zealand). This means you may receive two payouts in one day, as we adjust to the new cut-off time. From then on, your payouts will include earnings in 24 hour batches based on the new cut-off time of 12am. These will be paid out at the payment schedule you've chosen.   Our dear customers in Great Britain and Europe, this change doesn't effect you as your payout cut-off time has always been midnight!

Mailchimp sync errors

You can now see and follow up on Mailchimp sync errors in the Add-ons section. Mailchimp syncs can fail for various reasons. If a Mailchimp syn error occurs, you can fix it by for example ensuring the API key, lists, and emails are correct. Here is a list of possible reasons for failed syncs:
  • You have exceeded the maximum number of 30 merge fields for this list
  • This account has been deactivated
  • Your API key may be invalid, or you've attempted to access the wrong datacenter
  • XXX has signed up to a lot of lists very recently
  • XXX is already a list member
  • A Merge Field with the tag XXX
  • Your merge fields were invalid
  • You can only update email addresses for members with a status of XXX
  • It already exists on the list
  • Was permanently deleted and cannot be re-imported. The contact must re-subscribe to get back on the list.
  • Your account is currently under maintenance. Please check back later

New field to add an email address to receive replies sent by your customers to 'no-reply' emails

We have added a new field to the email settings section. Go to (setup > notifications > email settings ) to which you can add a new email address to receive replies sent to 'no-reply' emails. This could be booking confirmations, reminders etc by your customers. This will allow you to free your personal or work email inbox from receiving these emails and also enable you to better manage them all in one place.

Online payment gateways are moving home!

To keep all the supported online payment gateways in one place, we're moving them from the Add-ons section to a newly created "Payment providers" page. If you already have a payment gateway activated other than TimelyPay, you can find your "Payment provider" page in the Setup menu. If you are new to online payments in Timely and don't have any payment gateway active yet, you can access it from the bottom of the TimelyPay page if you're from the location where TimelyPay is supported or directly from the Setup menu otherwise.

Enhancements to the matching of clients details when booking

We have made a number of changes across Online Booking, Gift Vouchers, Client Login, Waitlists and the Shopify order import to consolidate the way we display, capture and store mobile and email data. This will simplify and resolve a number of issues when trying to match to an existing customer. These changes will result in more matches and less duplicate clients being created with sub-standard or incorrect details. One key change is that online bookings will now always show the country code at the start of the input to make it clear that this prefix shouldn't be included. If your clients do try to use irrelevant characters we will remove them or sometimes display an error, as this is a common cause of duplicate profiles when the customer adds a note to the number for example "021123456 - evenings only" or "+6421123456". Note: We'd like to point out that this will improve the matching of clients and reduce duplicate profiles significantly, but will not eradicate duplicates entirely, which may still be created for appropriate reasons.

No more online bookings secured by expired card with TimelyPay

We all know that feeling when all of a sudden the time's come and your payment card has expired. So frustrating! While we can't make all cards work infinitely, what is under our full control is that your clients don't secure their online booking with a previously saved, but now expired, card. If the card isn't valid by the time of booking, the client will be asked to provide a new card details, which means you will still be able to charge a cancellation fee in case of a no-show or late cancellation!

We've added the date and time details into the header of the appointment section within a sale. You can click the staff member name of that appointment to expand the section to display more information and vice versa. Editing is still available by clicking the header section for that appointment.

Some payments providers removed from Timely in UK

Making sure you are able to take online payments following the latest security rules is critical for us. Ahead of the Strong Customer Authentication (SCA) regulations coming into effect in the UK, we have removed all the online payments providers from Timely that don't support these new rules intended to enhance the security of payments and limit fraud during the authentication process. Please make sure you activate TimelyPay which goes far beyond just being a payment gateway or PayPal to continue taking online payments if you haven't done that yet!

Auto-save added when filling in a Consult form

We found that clients who were spending a long time filling in a Consult form were having their progress lost. This was due to their session timing out and so progress was lost. We now auto-save a form every 5 minutes which means progress will not be lost for the client when filling in a form.

Pencilled in booking email notification enabled for for customers using pencilled-in booking status.

Last month we created a new notification message type for pencilled-in bookings. Now, for all customers currently with an "Initial status for new appointments" set to Pencilled-in, we have enabled the message type. We found that when clients were sent more than one Consult form, they were only filling in one form as it wasn't clear there were multiple to complete. Improvements to gift voucher sales

  • Making sure when just a recipient name is added that the voucher isn't linked to a specific customer. Previously we were searching the client list and attaching a gift voucher to an existing record if it matched the entered client name.
  • Recipient name can be left blank on gift vouchers. This change lets you leave the recipient field blank if required, great for situations where who the voucher is for, might not yet be known.
  • Improve display on the sale complete page when there is no recipient name on a gift voucher. This change supports the previous one, improving the display of a just purchased gift voucher to account for the fact that there is no recipient specified.
  • No longer automatically email the gift voucher to the sending/purchasing client Previously we would always email the sender the gift voucher if they had an email, we now only send an email if the user explicitly chooses to at the end of the sale
